Why Entertainment Books Earlier Than You Think
The best performers — whether that is a headline gospel artist, a corporate MC with a strong reputation, a live band with a full repertoire, or a DJ who genuinely reads a room well — work a full calendar. They are not waiting to be called. They are being called constantly, and they confirm on a first-come basis.
Nairobi Peak Season : event runs from August through December, with a secondary peak in April. During these months, the most in-demand performers can be booked out 3 to 5 months in advance. If your event falls in this window, entertainment needs to be one of your first bookings — not one of your last.
Booking Timelines by Entertainment Type
- Headline gospel or music artist (for a concert or major event):
Book: 3 to 6 months in advance. For internationally recognized artists or those with a very busy schedule, 6 months is realistic. Contracts, rider confirmations, and deposits take time. - Corporate MC:
Book: 6 to 8 weeks minimum for a good MC. For established, high-profile MCs, 2 to 3 months is safer during peak season. - Live band (wedding or corporate):
Book: 2 to 4 months in advance. Full bands coordinate multiple musicians' schedules, which takes longer to lock down than a solo act. - DJ:
Book: 4 to 6 weeks minimum. For sought-after DJs during peak December season, 2 to 3 months. - Praise and worship team (for gospel or church events):
Book: 4 to 8 weeks in advance depending on the size and profile of the team. - Cultural or traditional performers:
Book: 4 to 6 weeks minimum, allowing time for briefing on the event context and any specific performance requirements.
What to Confirm When Booking
- Performance fee and payment schedule - deposit to confirm, balance before or on the day.
- Set length and program position - how long and when they perform
- Technical rider - what they need in sound, monitoring, staging, and backstage.
- Contract - signed by both parties.
- Cancellation terms - what happens if either party needs to withdraw.
- Content rights - who can record or broadcast the performance.
Note : A WhatsApp message saying "confirmed" is not a booking. A signed contract with a deposit paid is a booking.
