You Are Building a Venue From Scratch

When you choose an outdoor space for your event, you are not just choosing a location. You are choosing a blank plot of land that needs to become a fully functional event venue by a specific date. That means everything has to come in.

  • Shelter. A tent — or multiple tents depending on the layout — is the most significant structural element. The tent needs to be the right size for the guest count, properly secured, and where necessary, fitted with flooring, lining, lighting, and climate control.
  • Power. There is no grid connection at most outdoor event sites in Nairobi. Everything runs on generators — and generator capacity needs to be calculated for your actual load, not estimated. A generator that is too small for the AV, lighting, and catering equipment will trip during your event.
  • Sound. Outdoor acoustics are completely different from indoor ones. Sound dissipates and carries differently in open air. The system needs to be sized and positioned for the specific outdoor environment.
  • Washrooms. Unless the venue has built-in ablution facilities, you need to bring in portable washrooms — and they need to be clean, well-positioned, and serviced during the event.
  • Water and catering infrastructure. Outdoor caterers need water supply, cooking infrastructure, and space that is separate from the guest area. This needs to be planned in the site layout from the start.


Weather in Nairobi Is Not Predictable

  • Nairobi has two main rainy seasons the long rains from March to May and the short rains from October to December. But Nairobi's weather does not follow a strict calendar. Rain can arrive in what should be a dry month, and the difference between a clear sky at noon and a downpour at 4pm can be less than an hour.
  • For any outdoor event, a weather contingency is not optional. Either the tent fully covers the entire guest area not just the stage — or there is a confirmed backup indoor space available. Hoping for good weather is not a production plan.


The Setup Time Outdoor Events Actually Need

  1. Most outdoor events need more setup time than clients anticipate. A complex tented setup with full production staging, AV, lighting, décor, catering infrastructure may need two full days of setup before the event day. This affects venue booking, supplier scheduling, and budget for extra labour days.
  2. If you are planning an outdoor event and expecting to set up on the morning of the event day, you are almost certainly setting yourself up for a rushed, incomplete production.
