The Most Common Budget Mistakes

  1. Not building in VAT from the start. VAT is 16% in Kenya. A KES 1M budget without VAT is actually a KES 862,000 budget. Build VAT into every line item from day one.
  2. Forgetting the hidden costs. Generator hire, security, medical standby, cleanup, rehearsal time, and contingency are real costs that are routinely excluded from initial budgets.
  3. Underestimating catering. Catering is the largest cost in most events — 25-35% of total budget.
  4. Choosing the cheapest supplier on every line. Some lines should be protected — sound, photography, and catering especially.
  5. No contingency reserve. Without a 10% contingency line, every surprise comes out of a line that was already planned for something else.

Where to Spend vs. Where to Flex

Always spend on: Sound and AV, photography, catering quality, security, contingency.
Flex on: Printed materials — go digital instead.
Flex on: Venue — an outdoor tented setup often costs less and looks better than a hotel.
Flex on: Entertainment — a great DJ costs less than a live band and works just as well for many events.
Never cut: Generator backup, security above 200 guests, medical standby above 500 guests.
