The Most Important Person At Event You'll Never See

At most large events, there is a person who is never on stage, never mentioned in the program, and never photographed by the media team. But remove them, and the event falls apart.

That person is the production manager.


What a Production Manager Actually Does

A production manager is responsible for the technical and logistical execution of an event — from the first supplier confirmation through to the last item being loaded out of the venue. They are the person who holds every thread of the production simultaneously and makes sure each one is pulled at the right time.

In practice this means:

  • Managing the supplier schedule - who arrives when, in what order, with what equipment.
  • Coordinating the setup sequence so that the staging is in place before the AV team rigs the screens, and the AV team is done before the décor team needs access to the stage.
  • Running the technical rehearsal - confirming that every microphone works, every screen displays correctly, and every lighting cue is programmed before the first guest arrives.
  • Being the central communication point - receiving information from every department and making decisions in real time when something needs to change.

Example : When the keynote speaker is running 20 minutes late, it is the production manager who adjusts the program, informs the caterer to delay the starter service, and briefs the MC on how to bridge the time without the audience noticing.


Why This Role Matters

  • Events fail in the gaps. Between the sound supplier and the lighting supplier. Between the MC and the program coordinator. Between the caterer and the venue's kitchen policy. Between what was agreed in the pre-event meeting and what actually arrives on load-in day.
  • The production manager lives in those gaps. Their job is to make sure nothing falls through them.
  • Without this role, the responsibility for all of these coordination points falls on the client or on nobody at all. When it falls on nobody, problems compound quietly until they are visible. And by the time a problem is visible at an event, it is usually too late to solve cleanly.


When Do You Need a Production Manager?

Any event above approximately 150 guests that involves multiple technical suppliers — AV, staging, lighting, catering, entertainment — benefits from a dedicated production manager.

For smaller events, this role can be absorbed by a senior coordinator. But once the production complexity reaches a certain level — multiple program segments, multiple performance acts, complex AV, large outdoor setup — the coordination demands are too great for a coordinator to hold alongside their other responsibilities.
